Vehicle maintenance records

Every Truck and Trailer Gets Its Own File.

Record each annual inspection (49 CFR 396.17) with its date. The next one defaults to 12 months out and shows on the alerts list as it gets close. Log repairs with what was done and when, and attach the invoice or photo. Registration and other unit documents can carry an expiration date.

When a truck leaves the fleet, archive it instead of deleting it. Its history stays available for the retention period your rules require.

MT is built in

The AI Brain Behind LFS AOS Works Your Compliance Too.

MT helps organize your files, flags gaps and explains what’s missing in plain language. You’re always in control: MT works on your yes.

Inside LFS AOS with MT, compliance is handled top to bottom: driver files, new hires and the pre-employment investigation, drug and alcohol testing and the consortium, pre-trip inspections, maintenance, annual inspections and IFTA.

Today Compliance Pro shows every gap on your dashboard and alerts list. Asking MT about a driver’s file inside Compliance Pro is coming.

What’s missing before I put this driver into service?

Trucking Compliance Software Questions

What is LFS Compliance Pro?

LFS Compliance Pro is DOT compliance software for U.S. trucking companies. It keeps driver qualification files, driver hiring, expiration dates, truck and trailer records and company filings in one place. MT, the AI coworker from LFS AOS, is built in. It lives at lfscompliance.com.

What has to be in a driver qualification file?

Under 49 CFR 391.51, each driver's qualification file holds the employment application, the motor vehicle record from each state at hire and every 12 months, the road test certificate or an accepted equivalent, the medical examiner's certificate and its National Registry check, the previous-employer safety history inquiry, and the annual review of the driving record. Compliance Pro gives every driver a checklist of these items and shows which are complete, missing or expiring.

How long do I have to keep driver qualification files?

49 CFR 391.51 requires you to keep a driver's qualification file for as long as you employ the driver and for three years after the driver leaves. Compliance Pro never hard-deletes records, so inactive drivers' files stay retrievable.

How does driver onboarding work?

Send an applicant your hiring link. They complete the employment application on their phone and e-sign the consents for the MVR, PSP report, Clearinghouse limited query and previous-employer inquiries. You review and approve, and the answers land in the driver's file.

How are CDL and medical card expirations tracked?

Compliance Pro watches the dates on CDLs, medical cards, annual reviews, company filings, and truck and trailer inspections and registrations. The Alerts list groups items as overdue or due within 7, 14 or 30 days, and the owner can get a short daily email when something needs attention.

Does Compliance Pro order MVRs or run Clearinghouse queries?

Not today. You order MVRs and run Clearinghouse queries through the official providers, then store the results in Compliance Pro, which tracks when the next one is due.

Does Compliance Pro help with a DOT audit?

It helps you find records quickly. Each driver, truck, trailer and company record has one place, so you can open what an investigator asks for in seconds. Compliance Pro organizes and tracks records; it does not certify compliance or replace your own review.

How is MT built into Compliance Pro?

MT helps organize your files, flags gaps and explains what is missing in plain language, and it works on your yes. Today Compliance Pro shows every gap on the dashboard and alerts list; asking MT about a driver's file inside Compliance Pro is coming. Inside LFS AOS, MT handles compliance top to bottom, including drug and alcohol testing, pre-trips and IFTA.

Is there compliance software for freight brokers and dispatchers?

Dispatchers can use Compliance Pro to help the carriers they serve, and white-label is coming. For freight brokers, LFS AOS has MT vet carriers with FMCSA, and helping brokers keep their carriers compliant is being built into MT. Our team also offers freight broker compliance services.
