Trucking company management for small fleets

We run the back office of your trucking company so the truck keeps moving and the business stays alive. Billing, paperwork, dispatch, freight research, fleet upkeep and compliance, handled by a company that has done this work for more than 20 years.

Why small trucking companies need a back office

Most small trucking companies don't fail on the road. They fail in the office. An invoice never went out. A broker never paid. An insurance filing lapsed. A lane cost more to run than it paid, and nobody did the math until the fuel card was empty.

The owner is usually driving, or managing the people who drive, and the paperwork piles up behind him. That is not a character flaw. It is a staffing problem, and it is the problem our management services are built to solve.

We are a carrier-first company. Everything we do has one job: keep your trucking company solvent, compliant, earning and not alone. If a service doesn't help with that, we don't offer it. We wrote about why so many carriers go under in Licensed to Fail.

The operating circle

“One truck is a straight line. A business built right turns in circles.” That line is from the book The Art of the Deal with 10 Wheels. A trucking company is not a string of loads. It is a circle where every step feeds the next, and when one step breaks, the whole circle slows down.

  1. Freight researchKnow where the freight is, who ships it and what a lane pays round trip before the truck rolls.
  2. The right loadBook loads that fit your equipment, your lanes and your numbers, not just the highest rate on the board.
  3. DispatchPlan the trip, confirm the paperwork and keep the driver and the broker on the same page.
  4. Driver and operationsKeep the driver moving, the truck maintained and problems handled while they are still small.
  5. BillingSend a clean invoice with the rate confirmation, bill of lading and proof of delivery the day the load delivers.
  6. CollectionFollow every invoice until it is paid, because delivered isn't done until it funds.
  7. Cash in the bankMoney in the account pays the driver, the fuel, the insurance and the next repair.
  8. Compliance kept currentFiles, filings and safety records stay current, which keeps you bookable and feeds better research next time.

…and what we learn goes back into step one.

Management backed by education

Your company is managed by LFS, and behind that management is the education we created at Freight University. Students, interns and academics apply what they learn to your company: freight research, compliance and back office.

That means checks and balances, transparency, and a team doing its best to help your company succeed. How we work.

  • Freight research behind your trucks
  • Compliance kept current
  • Transparency on everything

What changes when the office is handled

When someone is watching the back office every day, the owner gets to run the company instead of chasing it. You know which invoices are open, which broker is slow to pay, when the next filing is due and which lanes are worth keeping.

You still own the company and you still make the decisions. We do the work that keeps those decisions informed.

The trucking companies and freight brokerages LFS builds and manages make up the LFS network. Each one operates under its own authority, with its own USDOT and MC numbers, and LFS provides the management and compliance oversight.

  • Invoices go out the day a load delivers
  • Open payments are followed until they clear
  • Truck and driver records stay current
  • Lanes are chosen on round-trip numbers
  • Compliance dates are tracked, not remembered

How we start working together

Use the form below or call 901-205-9679. Tell us how many trucks you run, what equipment, and where it hurts most.

  2. We look at the whole circle

We review your authority, equipment, lanes, paperwork and cash flow so we can see which step is slowing the rest.

  3. You choose the services

We tell you plainly what we would handle and what it costs. You decide what fits.

  4. We get to work

We take over the agreed work and keep you informed. Your company stays yours.

Don't have your authority yet?

If you are still setting up, start with the order of operations: authority, insurance, the right truck and a freight plan before the first load.

Questions and answers

Who are your management services for?

Owner-operators and small fleets running 53-foot dry van, refrigerated (reefer) or power only freight. We do not work with flatbed or non-CDL hotshot operations.

Do I have to use every service?

No. Some carriers only need back office help. Others want dispatch and compliance together. We start with the part of the circle that is slowing you down.

What does dispatch cost?

Our dispatch service is 8% of the gross of each load. It includes freight research, load booking, broker setup, compliance support, TMS access and back-office support. See dispatch services.

Do I keep control of my trucking company?

Yes. You own the company, it runs under its own authority, and you make the decisions. We do the work you hand us and keep you informed.
